Procedures after Graduation

Notification of the accepting organization

Upon leaving university after graduation, if you are planning to leave Japan, transfer or enter another university, and continue to stay in Japan for a job or wish to keep residing in Japan for job seeking activity, you are required to submit “Notification of the Accepting Organization”
 (In the case you are not planning to stay in Japan after graduation, you are also required to submit “Notification of the accepting organization” before leaving Japan.)

  You can use the electronic notification system (https://www.ens-immi.moj.go.jp/NA01/NAA01S/NAA01STransfer) to submit this form, take it yourself to the local Immigration Bureau or alternatively send it by post to the Tokyo Immigration Bureau. When sending by post, you have to send the relevant notification forms with a copy of your Residence Card to the following address.

*You must submit the form within 14 days after the change takes place.

Note:

  • If you are planning to transfer or enter another university you are required to submit the “Notification of the accepting organization – left” or “Notification of the accepting organization – left・transfer”
  • If you change your visa status to “Designated Activities” for seeking or starting job activity, you are required to submit the “Notification of the accepting organization – left the organization”.

Moving out of University Accommodation

Inform the section of your moving date.
If you live in university dormitory, “Keiteki-ryo” or “Sosei-ryo,” go to window 1C in Institute for the Advancement of Higher Education. (up to 30 days before)
If you live in Hokkaido University International House Kita 8, Kita 14, Kita 23, and Fushimi, inform your Dormitories’ management service contractor of your departure date. (up to 15 days before)
If you live in university dormitory, “Hokushin-ryo”, inform Boarder Committee. (up to 14days before)

Moving out of Rental Apartments

When you move out, you need to inform your apartment’s landlord / management company of your moving date one or two month before the vacating date. When the notification delays, the other rent might be imposed. Inform gas, electric and water companies of your moving and pay the rest of fee. Clean out your room thoroughly then the apartment’s landlord / management company will check the room on your moving date. Repair expense and / or cleaning expense may be charged to you depending on the condition of your room or your apartment contract.

*If you are planning to move to another area of Japan, it is important to file the change of address to the local municipal / ward office. Please refer to “At the Municipal / Ward Office” for further details.

Returning Books

Return the books you borrowed from the Hokkaido University’s library.
